FAQ

1. When does registration for conference open?

Conference registration usually opens 3 months in advance of the event. All registrations are first come, first served for fairness. We try to send an email in advance so you can plan on registering when it opens. 

2. What is the cost to exhibit?

Cost to exhibit varies. Our fall conference is a one day conference, typically priced at $1250.  Our spring conference is a two and a half day conference, typically at $2000-2500. Spots are limited by the venue space and we always sell out fairly quickly.

3. Can I host a product theater?

We offer product theaters for our spring conference only. We have sponsored product theaters available and incorporate the registration for your product theater as part of the conference registration. We have found this dramatically increases attendance. 

4. Can I get a list of all attendees? 

A list of registered attendees will be present at your vendor table, and is typically emailed to you the week of the event as well.  We cannot provide further information about our attendees for their privacy and safety.

5. Can I get a list of your membership or email your membership? Can I promote my outside product theater with your membership?

No, sorry. 

6. How many attendees do you anticipate?

Many factors come into play here, which is why we can't guarantee any baseline number of attendees. Historically our events have had 125-200 attendees as a ballpark measurement. All of our conferences are presented in-person and virtually- we've found virtual attendance to be roughly 10% of our audience, generally those who are unable to attend in-person.

7. Where can I register?

If there is a current registration open, you can find it at mnpa.org/events or linked on our homepage.

8.Can I submit a speaker proposal for your conference? 

While we appreciate topic ideas, all speakers must be without bias and should submit their own proposals

9. What do I do if the event is sold-out? 

Please join our waitlist- we will work through any openings in order. There is not a way to jump to the top of the waitlist, please do not send payment until your registration is confirmed.  Payment sent without a registration will be considered a generous donation.

10. Do you have a discounted rate?

We have a discounted rate for nonprofits, please email us to see availability. 


Frequently requested documents

What is the registration process?

  1. A registration notice is sent to our email list with an agenda, W9 and prospectus letter.

  2. Registration opens at MNPA.org/events at the time designated, usually 3 months prior to the event- please register on our site. We have had some vendors register within their own company and forget to register with US.  If you don't register on our page, we don't know you are coming and aren't saving you a table, and we typically sell-out.  Sending payment without registration does not mean you will be moved ahead on the waitlist or guaranteed a table.  

    If your company requires additional forms to be filled out, please send them to Amie Marzen, Executive Director at mainenpassociation@gmail.com. Filling out the form does not confirm your registration. Registration is only confirmed via the event page.

  3. An invoice for payment will be emailed to you to be paid digitally via credit card or via check.

    here are no additional fees for you as the vendor to use a credit card.  We accept all major credit cards.

    -Our mailing address is: Maine Nurse Practitioner Association, PO BOX 135 Woolwich, ME 04579.  Please do not use the Columbia Avenue address, that is outdated.

    -Please include the name of the representative, your organization's name, and invoice number with the payment if sending by check/ ACH.  We often get multiple representatives from the same company and want to be sure to attribute accordingly.

4. Registration is confirmed pending payment, additional communication about the event and load-in time, etc, will be sent closer to the event itself.  Nonpayment will prohibit future registrations until payment is completed. When payment is received, a confirmation email will be sent to the email address on the registration. If this is not you, please ask your representative to watch for this and any other updates.

What does my registration include?

Your vendor registration includes:

-a vendor table with table cloth 

-registration for two representatives from your organization, including meals as provided to the attendees

-a program book/ sheet which lists the names of all registrants (will be printed one week prior to the event, so may not capture any last minute registrations). We cannot provide any additional information about attendees aside from their names. 

Your registration does NOT include lodging. Please contact the resort directly to make any necessary accommodations. A discounted room block, if available, will be included on this page and in your email communication. 

Included in your confirmation email upon registration will include a W-9 form and vendor invitation letter An agenda, once finalized, will be emailed to you as well in advance of the event.  A draft is below and is subject to change.

Please email mainenpassociation@gmail.com with any questions.  Questions submitted in writing are answered faster than phone. 

As an exhibitor two representatives from your company are invited to participate in the conference.  Space is allocated on a first-come-first-serve basis so please register early to reserve your space.  The exhibitor space is open to multiple vendors and the space is conveniently located near the presentation areas in its own space. Lodging is not included in the registration fee, if you require lodging please make accommodations through the resort using the MNPA room reserve block. 

Please note that any cancellations within 14 days of the conference may be held to full payment if we are unable to fill your spot.  By registering you accept the conditions of our cancellation policy.


Product Theater Sponsorship Opportunities

MNPA is committed to creating a mutually beneficial product theater experience for both attendees and industry partners. Beginning this year, MNPA will offer a limited number of product theater opportunities. Three opportunities for dinner product theaters will be available on each Wednesday and Thursday evenings, as detailed below.  Attendees will have the ability to pre-register for product theaters as part of the conference registration process. Attendance at the product theater is not considered part of the conference agenda and attendees will attend as individuals, not representatives of MNPA, their employer or outside agencies.

MNPA Industry Non-CE Disclaimer Statement
The opportunity to attend any industry non-CE event is available only to registered MNPA conference attendees.  All product theater hosts must also be registered exhibitors at the conference.  The product theater event and its program information at this MNPA conference do not constitute an endorsement by MNPA. MNPA has not reviewed the product theater content or slides, as this is a non-CE event.   Please note that MNPA will no longer promote outside product theaters.

Cancellation Policy

If your event has less than 10 pre-registered guests (5 for Ebbtide) at two weeks prior to the event (April 1, 2027), you can choose to cancel your dinner without penalty.  After two weeks (April 1, 2027), the venue and MNPA are unable to offer refunds. All product theater registrants must also register for a vendor table. Cancelling the product theater does not cancel the vendor/exhibitor table. The vendor tables are non-refundable.  By registering you accept the conditions of our cancellation policy.

  • 2.       Wednesday Penbay:  Wednesday at 5PM, with room for up to 50 attendees.

  • 1.       Thursday Ebbtide:  Thursday at 6PM, a more intimate set-up with room for up to 10 attendees.

  • 3.       Thursday Schooner: Thursday at 7PM, with room for up to 50 attendees.

Product dinner sponsorships include:

  • ·       Pre-registration for the dinner as part of the attendees’ registration process.
  • ·       Exclusive non-compete start time for your presentation. There will be ONE dinner at 5PM, 6PM, and 7PM each night. Dinner is not included as part of the attendees’ registration process and most stay on-site, so we anticipate great engagement.
  • ·       A list of your product theater’s attendees with their practice specialty and region (if provided by the registrant). At the event, you may request their contact information, MNPA cannot provide their contact information for the providers’ privacy.
  • ·       At least two email blasts to attendees promoting the product theaters.
  • ·       Signage at the event promoting the product dinners.

Product theater sponsorship does not include:

  • ·       Catering/AV via Samoset, which will be arranged with them directly.  This allows you to set your own menu and arrange for any technical needs you may have.
  • ·       Lodging at the Samoset
  • ·       Exhibitor table in the State of Maine ballroom (required to participate as a product theater).
  • ·       Guaranteed attendance – attendees will choose if they would like to attend.
  • ·       CE for attendance
  • ·       Personalized contact information for registered attendees provided by MNPA.
